Who we are
HostTally is made and run by HostFactor (Conrad & Claude), United Kingdom. We are responsible for the personal data described here. Contact us at billing@hostfactor.co.uk.
What we collect
Your account: your name, email address and a scrambled (hashed) copy of your password. We never see or store your actual password.
What you add to the app: properties, guest stays, expenses, bills, income, notes, receipt photos and bill PDFs, and any Airbnb calendar link or earnings file you import. Guest stays may include a guest's first name, which you choose to enter.
Contact form: your name, email and message, so we can reply.
Technical: a single cookie that keeps you signed in, and standard server logs (such as IP address and time) kept for security.
Why we use it
To run your account and the app, send emails you have asked for (welcome, password reset and reminders), keep the service secure, and answer your questions. We do this because it is needed to provide the service you signed up for (contract), and for our legitimate interest in keeping it safe.
We do not sell your data, show adverts, or use advertising trackers.
Where it is kept
On our own web hosting, with nightly backups. Only we can access it. If we ever need a supplier to process data for us (for example email delivery or payments), they will be bound to protect it.
How long we keep it
For as long as your account is open. If you close your account we delete your data, apart from anything we must keep by law (such as payment records). Backups are overwritten within 14 days.
Your rights
You can see, correct, export or delete your information at any time. The app lets you download everything as Excel, PDF or a backup file. To have your account deleted, email us. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office (ico.org.uk).
